How to Write Invitation Letters

Invitation letters can both be formal or informal in format and tone, depending on the event that you are inviting your reader to and who is hosting the affair.

Usually, weddings, business retreats or dinners, and corporate conventions are among those that are considered to be formal; while children’s birthday parties, afternoon barbeques, and engagement dinners are deemed less formal.

Nonetheless, when writing invitation letters, the most important details to pay attention to and include are related to the affair itself. You should clearly state when and where it is going to be held. This can include a specific time for the opening of the affair and a general idea on what time it will end.

Aside from that, you should also mention the reason behind holding the event. This means giving a short paragraph on the background of the affair.

For example, if you are inviting someone to a charity dinner, mention what charity is involved and where the proceeds are going to go. In the same way, if you are inviting someone to a christening, state the age of the child and other relevant details.

Another thing to keep in mind is you should always send the invitation early enough for your guests to make arrangements or clear their schedules.

Two weeks to a month’s notice should be ample time. If you choose, you can also ask your guests to respond to the invitation a few days or a week prior to the event in order for you to finalize guest lists and other details.

It would also be a good idea to include an email address or phone number that your guests can contact if they have other questions that your letter did not cover. This way they can get in touch with you for clarifications.
