How to Write Fundraising Letters

One of the factors that will determine the success of any fundraising event is how compelling the fundraising letter you send to potential supporters and donors is. This is why it is important to know the proper elements that make up such a letter.

The key point that you should keep in mind when drafting your letter is getting your message and vision across to the reader. With this said, you should also note that it is best to present your case quickly and not beat around the bush.

Your donor will not want to have to go through one whole page before being informed of what the cause of your organization is promoting or the purpose for the fundraising event. Give a brief background of your group or project in your introduction, after which you should make your point right away by discussing what it is exactly that you want to achieve with your event.

The most effective fundraising letters appeal to your recipients’ emotions, so it would be a good idea to include anecdotes and personal stories before introducing quotes and figures for the donations.



After you have presented your cause and the goals you wish to achieve, clearly outline how your reader can help you out. Be specific with the amounts or items that you want to receive. Also, don’t forget to clearly state where their donation will go. A good example of this would be to state something like, “By donating $25 we will be able to supply two children with a year’s worth of school supplies.”

Don’t forget to include the necessary details regarding how the donations can be sent to your organization. As much as possible, keep it simple for your donors and give them options. You can also include a return envelope.

Don’t forget to extend your gratitude to your recipients in advance towards the closing of your letter. This can encourage them further and possibly even seal the deal to them donating what they can for your event.
