How to Write Approval Letters
Usually warm, friendly tones are appropriate when writing approval letters. Begin by stating exactly what you are approving of. If you would like, state reasons you are giving approval to your reader.
When needed, tell the person what his or her next steps should be.
Be sure to include important dates for the approval such as the date if will be effect or when an account may be activated. State other information that is important such as time guidelines when they are relevant to your situation. In closing, restate your appreciation and offer sincere congratulations for the project or the position or the appointment, etc.
For approval letters that are granting requests such as vacations, leave of absences, or something similar remember that the letter should be to the point and brief. State clearly exactly what the approval is with the dates and other information to avoid future misunderstandings among any of the people who are involved in the issue.
If there are any special circumstances that apply, be sure to state these in the letter in order to have a written record of them in the future so that you can avoid any misunderstandings that end up arising from the approval.
